Your Books Should Tell You Where Your Business Is Going β Not Where It's Been
Many small business owners catch up on bookkeeping every few months, or let their accountant untangle it at tax time. The result: they're always looking backward β never forward. Cash flow surprises. Tax estimates that are way off. No data to make pricing, hiring, or expansion decisions.
With monthly bookkeeping done right, your P&L, balance sheet, and cash flow statement are waiting in your inbox by the 15th of every month. You see what changed, why margins moved, and where the money actually went.
QuickBooks & software compatibility: We work in QuickBooks Online (preferred), Xero, Wave, and FreshBooks. We can also migrate you from spreadsheets or paper-based records to a modern accounting platform.
- βNo more tax-time chaosYear-round categorization means your accountant gets clean, organized books β not a year's worth of catch-up work.
- βCatch errors before they compoundMonthly reconciliation catches miscategorized transactions, duplicate entries, and missing deposits immediately.
- βKnow your real profit marginAccurate COGS tracking and expense categorization show you where you're actually making and losing money.
- βBankable financial statementsLenders and investors require current P&L and balance sheets. Clean books mean you're always financing-ready.
- βDeductions don't get missedProperly categorized expenses mean every legitimate deduction is captured β not discovered (or missed) in April.
What Small Business Bookkeeping Covers
A complete monthly bookkeeping cycle β from day-to-day transaction recording to polished financial reports, every month, on time.
Initial Account Setup
Connect all bank accounts and credit cards. Configure your Chart of Accounts to match your business structure and industry. Confirm accrual or cash accounting method. Set up your accounting software correctly from day one.
Weekly Transaction Categorization
Every income and expense transaction categorized weekly against your Chart of Accounts. Uncategorized items reviewed and resolved. Unusual or potentially misclassified items flagged for your review.
Monthly Bank Reconciliation
Every bank account and credit card reconciled to the cent. Cleared transactions confirmed, outstanding items tracked, and any discrepancies identified and resolved before the books close each month.
Profit & Loss Statement
Monthly P&L delivered by the 15th showing total revenue, cost of goods sold, gross profit, operating expenses broken down by category, and net income β compared to prior month where applicable.
Balance Sheet
Monthly snapshot of your assets, liabilities, and owner's equity. Tracks what your business owns, what it owes, and the net value β essential for financial planning, lending, and investment decisions.
Cash Flow Statement
Monthly view of actual cash movement β operating, investing, and financing activities. Helps you understand why your bank balance moved, not just what your profit was. Critical for predicting cash shortfalls before they happen.
Know Who Owes You β and What You Owe
We maintain your accounts receivable aging report β showing every outstanding invoice, how long it's been out, and what's at risk of going uncollected. On the payables side, we track vendor balances and due dates so you never pay late or miss a discount.
This pairing is especially valuable for service businesses and contractors where delayed payments can create cash flow crunches weeks later.
Tax Time Shouldn't Be a Fire Drill
We keep your books tax-ready every month β not just in March. That means your accountant or tax preparer gets a clean trial balance, organized expense categories, and reconciled accounts when they need them. No catch-up, no guessing, no last-minute data requests.
Pair bookkeeping with our corporate tax prep or personal tax services for a seamless end-to-end financial workflow.

Bookkeeping FAQs
Do I need to be on QuickBooks?
QuickBooks Online is our preferred platform and works best for most clients. We also work in Xero, Wave, and FreshBooks. If you're currently using spreadsheets or paper records, we can help you migrate to a proper accounting system β usually in one to two weeks.
What if my books are a mess or months behind?
Catch-up bookkeeping is a common starting point. We'll assess the current state of your books, work through the backlog systematically, and get you to a clean current state before moving into ongoing monthly service.
Will I still need a CPA or tax preparer?
Bookkeeping keeps your records clean and current β but it's not the same as tax preparation or tax planning. Most clients use us for bookkeeping and a separate CPA or our in-house tax prep service for annual filing. Our books are specifically organized to make that handoff fast and easy.
What does "reconciled" actually mean?
Reconciliation means comparing every transaction in your accounting software to your actual bank and credit card statements to confirm they match β to the penny. It catches data entry errors, missing transactions, bank fees, and duplicate entries before they create bigger problems.
How do I share access to my accounts?
For QuickBooks Online, we use accountant-level access β no passwords needed, no full admin rights. For bank accounts, we typically use read-only bank feed connections or transaction export files. We never have direct access to move money.
